At Export Computer Exchange (ECE), we pride ourselves on building strong, lasting partnerships with our clients. Our goal is to make every transaction smooth, efficient, and mutually beneficial. To ensure clarity and foster a great working relationship, we've put together some key guidelines for doing business with us. These points are designed to help you understand our processes and what you can expect when you choose ECE for your computer hardware needs.
1. Timely Payments & Transparent Fees
We require payment within 48 hours of invoice receipt. If you need different arrangements, please discuss them with us before the invoice is issued. We cover the fees for the first wire transfer, which is why we ask for your swift receipt to reconcile what was sent with what we received. For any subsequent payments, the wire fees from intermediary banks will be your responsibility. This helps us keep our pricing competitive and streamlined.
2. Honoring Payment Agreement Dates
When we agree on payment dates, we commit resources to fulfill your order. This includes allocating staff, warehouse space, and preparing your equipment for immediate shipment upon payment receipt. Honoring these dates helps us maintain our operational efficiency and deliver your order promptly.
3. Non-Refundable Deposits
Please note that deposits made on equipment are non-refundable. These deposits secure your order and allow us to allocate specific inventory and resources for your purchase.
4. ECE's Reliable Shipping & Insurance
When ECE handles shipping, we work with trusted freight forwarders who manage the logistics, allowing us to focus on our core business. We also individually insure each lot for shipping damages. In the rare event of a shipping damage claim, we will file it and pursue reimbursement. Once we receive the reimbursement, you will get a credit or refund. Please be aware that shipping rates are only valid for 1-2 weeks. If your payment is delayed, you may be responsible for additional shipping charges due to potential rate fluctuations.
5. Self-Shipping Guidelines
If you choose to arrange your own shipping, a fee will apply. Working with freight forwarders who are not pre-approved or trained by ECE requires significant time and effort from our staff. Additionally, if you ship yourself, we cannot insure the goods for damage during transit, and you will assume that responsibility.
6. Special Clearance Requirements
For any special needs or requirements for customs clearance at your port (e.g., original documents or certificates of origin), these must be communicated before shipping. Any associated charges for these special services will be your responsibility.
7. Equipment Claim Procedure
Should you have a claim regarding equipment, you must notify us within 10 days of arrival. Please report any missing or incorrect items in the exact format of the invoice, and include pictures and serial numbers. ECE has up to 30 days to review the claim.
We guarantee our equipment as follows:
Tested Working: 100% (minus up to 10% for shipping damages)
Working Pulls: 80%
Untested or As-Is: Count and details only
8. Customs Assistance
If you encounter any issues at customs, please inform us immediately. We have connections within most international US embassies and may be able to assist. We'll need to know the specific issue and a contact person. However, please understand that we are not responsible for any charges incurred at customs in your country.
